Privacy & Responsible Information Sharing

The City of Kalamunda is committed to protecting your privacy and handling your personal information responsibly. This summary explains the key points of how we collect, use, store and share your information under the Privacy and Responsible Information Sharing Act 2024 (WA).

What we collect

We only collect the personal information we need to deliver City services and meet our legal obligations. This may include your name, contact details, property information, service requests, applications, and—where required by law—information such as your date of birth or limited health details.

How we collect information

  • Directly from you: forms, emails, phone calls, online requests, event registrations and feedback
  • Online: our website uses cookies and analytics tools (e.g. Google Analytics) to improve your experience. You may opt out through browser settings
  • Social media: content from our official social media channels (including Facebook, Instagram and X/Twitter), including posts, comments and messages, may be captured into our records system using approved social media archiving tools (e.g. Brolly) in accordance with the State Records Act 2000 (WA)

How we use your information

We use your information to:

  • provide services
  • respond to requests
  • administer programs
  • maintain facilities
  • meet legal and regulatory obligations
  • improve our services through planning and evaluation

We generally only use or disclose personal information for the purpose it was collected, unless otherwise permitted by law, including where information may be shared in accordance with the Privacy and Responsible Information Sharing Act 2024.

Sharing information

We share personal information only when lawful and necessary.

The Privacy and Responsible Information Sharing Act 2024 includes a framework for responsible information sharing across WA public sector entities, enabling information to be shared in defined circumstances where it delivers public benefit, with strict safeguards and accountability.

Overseas disclosure

We generally store and process personal information within Australia. Where personal information is handled outside Australia, we ensure appropriate safeguards are in place in accordance with the Privacy and Responsible Information Sharing Act 2024.

Keeping your information secure

We take reasonable steps to protect your information from misuse, loss, and unauthorised access or disclosure. This includes secure systems, access controls, staff training, and governance measures.

Your rights

From 1 July 2026, you can:

  • request access to your personal information
  • request corrections if the information is inaccurate, out‑of‑date or incomplete
  • make a privacy complaint to the City if you believe your privacy has been interfered with

These rights apply under the Privacy and Responsible Information Sharing Act 2024. You may also request documents through the Freedom of Information Act 1992 (WA).

If you have a concern

  • If you believe your privacy has been breached, contact our Privacy Officer
  • If you are not satisfied with the outcome, you may be able to lodge a complaint with the WA Information Commissioner from 1 July 2026
  • Serious data breach notification obligations begin 1 January 2027
